Freelancers have specific accounting needs: fast invoicing, clear cash flow visibility, manageable pricing that makes sense for a one-person (or small) operation, and software that doesn’t require an accounting degree to use. This guide covers three well-known options — Xero, QuickBooks, and FreshBooks — drawing only on what we were actually able to capture about each tool.

One quick note before diving in: we weren’t able to capture QuickBooks’ current pricing or features because their site blocks our automated research. Read on for what that means in practice.

Pricing at a Glance

Tool Entry-Level Plan Mid Plan Top Published Plan Notes
Xero Early: $25/month Growing: $55/month Established: $90/month Promo pricing available
QuickBooks Not captured Not captured Not captured Site blocks automated research — check directly
FreshBooks Lite: $23/month Plus: $43/month Premium: $70/month Select plan is quote-only; promo pricing available

On promo prices: Both Xero and FreshBooks show promotional rates at time of capture. For Xero, promos of $2/month (Early), $5/month (Growing), and $9/month (Established) were visible — treat those as limited-time offers and budget against the regular prices. FreshBooks showed a $1/month Lite promo and an $8.60/month Plus promo. Verify current offers directly on each vendor’s site.

What Each Tool Does (and What We Know About It)

Xero

Xero is a cloud accounting platform whose captured features include bank connections, bank reconciliation, invoicing (with logo/payment terms customization and automated payment reminders), accepting payments (by PayPal, direct debit, cards, and digital wallets), expense claims, project tracking, bill payments, profit and loss reports, balance sheets, and cash flow forecasts, and access to a JAX AI financial superagent. It also offers an Xero Accounting app for handling financial admin on any device.

Published plans run from $25/month (Early) to $55/month (Growing) to $90/month (Established), all billed monthly.

Friction to note: Some users report friction with invoicing and payments, ease of use, and price/value — worth factoring in as you evaluate.

QuickBooks

QuickBooks is a major accounting platform, but we weren’t able to capture its current pricing or features this round — their site blocks our automated research. Rather than guess, we’d strongly recommend checking their pricing page directly at quickbooks.intuit.com. Their site is also known to run aggressive promotional offers, so look for both regular and promo prices when you visit.

We do have some review signal for QuickBooks: some users report friction with invoicing and payments, price/value, features and functionality, customer support, and the mobile app — worth keeping in mind as you evaluate.

FreshBooks

FreshBooks is a cloud-based small business accounting platform that explicitly calls out freelancers, solopreneurs, businesses with employees, and businesses with contractors as its target audiences — making it one of the more explicitly freelancer-positioned tools in this comparison. Its captured feature categories include invoicing, billing and payments, expenses, and payroll, with a positioning statement that references sending invoices, managing receipts, tracking expenses, and accepting credit cards.

Published plans: Lite at $23/month, Plus at $43/month, and Premium at $70/month, all billed monthly. The Select plan is quote-only — contact their sales team for pricing.

Friction to note: Some users report friction with invoicing and payments, customer support, and price/value.

Grounded “Best For” Picks

Best for Freelancers Who Want Explicit Solo/Small-Business Positioning

→ FreshBooks

FreshBooks is the only tool in this comparison whose captured features explicitly name freelancers and solopreneurs as distinct audiences. Its Lite plan at $23/month is the lowest published entry price across the tools we could fully capture, and the feature set covers the core bases most freelancers need — invoicing, expenses, billing and payments, and payroll. If you’re running a solo operation and want software that at least says it was built with you in mind, FreshBooks has that signal where Xero does not explicitly state it in captured data.

Best for Freelancers Who Want Cash Flow Visibility and Bank Automation

→ Xero

Xero’s captured features include automated bank reconciliation, cash flow forecasts, profit and loss reports, and balance sheets — a solid set for freelancers who want to stay on top of where money is going. Its bank connections feature pushes bank data straight into the platform, and automatic payment reminders can help reduce the friction of chasing late invoices. The Early plan starts at $25/month billed monthly, just above FreshBooks’ Lite tier. The step up to Growing ($55/month) and Established ($90/month) may be worth evaluating if you need more capacity.

Best for Freelancers Considering QuickBooks

→ Evaluate Directly

QuickBooks is widely known in the freelance and small-business space, but we genuinely can’t give you grounded pricing or feature claims for it right now — their site blocked our capture. What we can say: some users flag friction around invoicing and payments and the mobile app, so those are pointed questions to ask if you book a demo or trial. Head to their site directly and compare what they’re offering against the transparent pricing from Xero and FreshBooks above.

How to Choose

All three tools sit in a similar pricing neighborhood for entry-level plans (where we have data), so the decision likely comes down to a few practical questions:

  • Do you want the lowest published starting price? FreshBooks Lite at $23/month edges out Xero Early at $25/month — a small difference, but real.
  • Do you want automated bank reconciliation and cash flow reports called out explicitly? Xero names those features directly in its captured data.
  • Do you need payroll in the same platform? FreshBooks lists Payroll as a feature category; Xero’s captured data does not surface a payroll category.
  • Is QuickBooks your default consideration? Get their current pricing and features directly from their site before committing — we can’t make a grounded comparison on their behalf.

None of these tools is a wrong choice for a freelancer on the surface; they differ on price steps, explicitly named features, and how much information you can evaluate before talking to sales.
